Job description

We are looking for a Reception Supervisor to join our Rapport team, based at our client’s offices in Baker Street. 

Our client is an accountancy and business advisory firm, where excellence and passion are the norm every single day. You will play a crucial role in creating immediate Rapport with key stakeholders, overseeing the day-to-day operations of the guest services, ensuring the delivery of an outstanding service and memorable experience.

This is a full-time, permanent role (40 hours per week), Monday – Friday, covering shifts from 7 AM to 7 PM, with flexibility for overtime as per the client’s needs.

Main responsibilities

Although the role content may vary, the main responsibilities within the role are:

  • Meeting and greeting, and providing a warm welcome to all stakeholders
  • Communicating the arrival of guests to the respective hosts and escorting visitors to their respective meeting rooms as required
  • Assisting with bookings and managing meeting rooms
  • Answering our switchboard calls in a professional and timely manner
  • Supporting with the courier bookings for national and international parcels, matching invoices against courier records, and providing the information to the Accounts Payable team
  • Reporting all facility-related issues, including health and safety, and following company service and H&S standards at all times
  • Supervising the day-to-day operations and providing a hands-on support to the Rapport team
  • Collating feedback and ensuring all standards, procedures and processes are upheld to the highest standard

  • Be proactive, flexible, and adaptable, with great attention to detail

  • Be able to operate in a calm manner under pressure, and able to work well in a fast-paced environment
  • Possess excellent communication skills, both verbal and written, with professional telephone and email etiquette
  • Be passionate about delivering high standard service, going the extra mile, and willing to continuously develop and learn new things
  • Have strong proficiency in Microsoft Office software (Word, Excel, Outlook), and passion for technology and innovation
  • Ideally have at least one year of face-to-face customer service and leadership experience (e.g., five-star hotel, airline, corporate environment)
